Introduction

 

When accessing Lotus Notes for the first time (or after a Lotus Notes account reset), there are certain steps that are needed to configure the application for use. These steps are the same whether you are connected to VPN (Global Protect), accessing via Citrix (connect.esc.edu), or accessing from a SUNY Empire location.  There are many applications that are used in Notes that can be added to your Workspace to easily access the ones that you use the most.  Memberships within Distribution Lists are also managed within Lotus Notes.

Adding Applications to Your Workspace

1. Open Lotus Notes (Either from your desktop or in Citrix)

2. Click Next on the Client Configuration Welcome prompt as shown below.

3. Enter your name in the following format: First Last/SUNY

4. Enter the following server name in the Domino field: mail.esc.edu

5. Make sure there is a check in the box that states, ‘I want to connect to a Domino server’.

6. Click Next

Enter your Lotus Notes password. (This password is specific to Lotus Notes only.)

7. Leave all the options under the Additional Services prompt blank and select Finish.

When asked if you would like to set IBM Notes as your default email program, you will check the box in the lower left-hand corner, then select No.

Please Note: If you used a temporary password to log in, you will be prompted to create your own new password at which point you will need to Exit and Re-open. To do this you will Select File (located in the upper left-hand corner), then select Exit. From there, you can re-open Lotus Notes and login with your new password.)

Adding Applications to Your Workspace

Open the Application Library

The Application Library is an easy way to access most university applications that are inside IBM Notes.

  • Click the Open drop-down menu, located directly under the menus in your IBM Notes window.
  • Near the bottom of the menu, click on the Application Library option to open the library.


Find the E.R.F. Applications

  • Scroll down the list of applications to the entries for the Electronic Review File and the Electronic Review File Part-time.
  • For each application, double click the entry to open that application’s configuration screen.

Please note that there are two versions of the E.R.F. database: one for full-time and one for part-time candidates. Depending on your role, you may need to install both of them individually.

Add The Application To Your Workspace

When you are looking at the application configuration screen for E.R.F.,

  • Click the  “Open/Add Application To Your Workspace” button.

The application should open, and an icon for it will be added to your IBM Notes workspace as well. In the future you can return to the application just by using that icon on the workspace.
