Working with Shared OneDrive Files/Folders

OneDrive files that have been shared with you are available from OneDrive on the web or locally through File Explorer/OneDrive app on your computer.

Accessing Shared OneDrive Files and Folders via the Web

  1. Open the web browser of your choosing and go to https://portal.office.com
  2. Log in with your SUNY Empire user ID and password
  3. In the upper left corner, click the app launcher icon

  4. Select the OneDrive application
  5. In the left-hand navigation menu, you can access your Shared files by clicking on the Shared files icon 
  6. At the top of the Shared files window, you can choose to view files by how they were shared or by file type (With you, By you, All, Folder, Word, Excel, PowerPoint, PDF)

Remove Broken Links to Shared Files or Files that are No Longer Syncing

  1. Open File Explorer
  2. Look for files/folder that have a red X in the Status column

  3. Right click on the file/folder
  4. Select OneDrive
  5. Click Stop Sync or Remove Shortcut

Making Shared Folders Available in File Explorer/OneDrive Application on Local Computer

If you would like to use the File Explorer on your local computer to access OneDrive files that have been shared with you, you can configure shortcuts or sync folders. Open the web browser of your choosing and go to https://portal.office.com.

  1. Follow the instructions above to Access Shared OneDrive Files and Folders via the Web
  2. Click the Shared With you option at the top (if not already selected)
  3. Click to select the file or folder you want to make available in File Explorer
  4. To Add a Shortcut:
    1. Click the Add Shortcut > My files or Other locations option from the ribbon

    2. If you select Other locations, choose the location to store the shortcut to your file
      • A pop-up window should appear letting you know the shortcut was created
  5. To Sync a Folder (only available for folders):
    1. Open the folder
    2. Click the Sync option from the ribbon

  6. Open File Explorer and you should see the file/folder within your OneDrive folder
