Steps for Approving a Page in Workflow

Overview

CourseLeaf Catalog (CAT) is SUNY Empire’s digital catalog management system. All edits to the university catalog must be made through this system. 

Catalog pages are edited by a designated user and then forwarded to another designated user (or users) for approval.  Once a page has been edited and fully approved, it will be in a “Done” status. Pages remain in the “Done” status until the full catalog is published. 

Definitions

Page Owner: The user assigned to make initial edits to a catalog page and pushes the page into the approval workflow.

Page Owners will receive an email from the Office of the Registrar to notify them that their designated page(s) is open for edits.

Approver: The user assigned to review/approve page(s) that the Page Owner has edited before it can be published. An approval workflow may have one or more approvers.

Approvers will receive an email notification when their designated catalog page(s) require review. In some cases, the Page Owner is also the approver.

Page Owner and Approver notification emails will include a link to the designated page.

Editing Catalog Pages

Page Body Edits

Page Owners are responsible for editing the content of their designated pages.  They are required to make initial edits to their catalog page and submit the page to the designated approvers through the CAT workflow. 

Page Owners will be notified by the Office of the Registrar when their designated page(s) are open for edits. The notification email will include a link to their pages.

Once you navigate to your page, click the “Edit Page” button at the top left corner.

This will bring up the editing menu bar.

Once the editing menu bar appears, look for the “Page Body” link (with a pencil icon). Click this link to open the page for editing. This is most likely the only link you’ll need on the toolbar.

 

You can also select the “Edit Page Body” link beneath the page heading (both links lead to the same spot).

 

The editing pop-up window will appear once you click the “Edit Page Body” link.

Make your edits in the textbox. When you have finished, click on the OK button at the bottom of the window.

Please avoid changing the formatting already established on the page, as this will veer away from the formatting continuity established across the catalog and may alter accessibility compliance.

When no other changes are needed and/or the page is ready to be published, click on the green Start Workflow button at the bottom of the page. This will initiate the approval workflow and send a notification to the first approver in the queue.

Editing Pre-Defined Tables

Some catalog pages included pre-defined tables. You can disregard this section if your page does not include a pre-defined table.

When you click the “Edit Text Box” link, a pre-defined table will be noted in the table heading or will be in a blue text box.

Double click the table to bring up editing options.

Click the table heading once and details will populate. Edit details as needed and click OK.

Editing Footnotes

Some catalog pages included footones. You can disregard this section if your page does not include a footnoes.

When you click the “Edit Text Box” link, the footnotes will be noted.

Double-click the footnotes box to bring up editing options. Then, click the number that corresponds to the footnote you wish to edit. Edit the “Footnote Content” text and then click “ok.”

Approvals Through the CAT Workflow

Key Terms

Approval Workflow: A varied number of users assigned sequentially to review/approve a catalog page prior to publication.

Rollback: An approver uses the red Rollback button to roll the page back to a previous approver or the Page Owner for additional work. This is used when major edits are still needed and indicates that the approver does not believe the page is ready for publication.

Edit: An approver can open the page for additional edits using the Blue Edit button. Editing is not recommended unless they are minor changes (i.e., typos). The Rollback button should be used for substantial edits.

Approve: An approver believes the page is ready for publication and pushes it forward to the next approver in the workflow. If they are the last approver, the page will be in a “Done” status.

Steps for Approving a Page in Workflow

As an approver, you will receive an email notification that a catalog page has been submitted for your review and approval (see the above sample). Use the second link in the email notification to access the review queue.

This will lead to the CourseLeaf Pending Pages Console.

There are two blocks that you will need to use in the pending console: the Page Listing block (Pages Pending Approval) and the Page Review block.

In the Page Listing block, you will see the “Your Role” drop-down, which should reflect your assigned role as approver. The samples show the “Administrator” Role.

Note: You may need to update your role if you do not see any pages in your queue.

Click the page you wish to review from the Page Listing block (Pages Pending Approval), and it will appear in the lower Page Review block.

You will notice three colored buttons at the top right of the catalog page: Edit, Rollback, and Approve.

  • If you need to make additional edits to the page submitted, click the blue Edit button (changes previously made by another user will be tracked in green or red font). The editing window will appear. Make your edits and click Save at the bottom of the window.
  • If you find the page still needs substantial work, use the red Rollback button. A window will pop up asking you to choose who to roll it back to and provide a rationale for the rollback.
  • If you believe the page is ready for publication, click on the green Approve button and it will push the page to the next approver’s queue in the workflow. The page will go into a “Done” status if you are the last approver.
