Microsoft Outlook Calendar Scheduling Basics

Introduction

Microsoft Outlook Calendar allows you to schedule meetings, appointments and reminders, as well as reserve conference rooms/meeting spaces.

Schedule a Meeting and Reserve a Conference Room

Schedule a Meeting with someone:

  1. Open your Outlook calendar
  2. Click on the Home tab
  3. In the upper left, click on → New Meeting
  4. In the To: field, enter the name(s) of the people who you are inviting
  5. In the Subject: field, enter the text for the meeting topic
  6. In the Location: field, look to the right and click the → Rooms button
  7. In the Address Book drop-down, choose → All Rooms
  8. From the list, choose a Conference Room (example → Learning Space (Rochester 201)), then click → RoomsOK
  9. Choose a Start time and End time for your meeting (example → Start time of 6/29/16 @ 10:00 AM and End time of 6/29/16 @ 11:30 AM)
  10. Fill in the body with your message to all meeting recipients
  11. Click → Send button

To Schedule an Appointment or Reminder

Schedule an Appointment (or a reminder):

  1. Open your Outlook calendar
  2. Click on the Home tab
  3. In the upper left, click on → New Appointment
  4. Fill in the Subject: field
  5. Fill in the Location: field
  6. Choose a Start and End time
  7. Fill in the body with text
  8. On the Appointment tab (upper left), click → Save & Close
