Student Enrollments in Brightspace

Introduction

Enrollments in Brightspace are automatically controlled by the student registration status.

When courses are listed in Brightspace

After registering for a course, it will be listed in Brightspace MyCourses under the tab for the term the student registered for and the course will also be listed in the All Courses tab. The course will not open for the student until the week before Term start, this is called preview week.

Reasons for losing course access during the term

There are several reason why a student might lose access to a course during the term.

  • Technical problems: If the student is having issues with course access during the term or before the term starts they can submit a service desk ticket at: https://www.sunyempire.edu/its/
  • A problem with the student account such as an issue related to payment (Visit Keep Your Seat for more information).
  • An administrative withdrawal or ZW entered by the instructor.

End of Term Student and Instructor Access

  1. At the end of the term a course will be marked with "Term Ended". Access to the course by students and instructors will depend on the conditions listed below.
  2. 14 days after a student receives a final grade they are removed from the roster.
    1. Final grades are: A, B, C, D, F, ZW
    2. An Incomplete is not a final grade, students with an incomplete will remain in the course until the instructor changes the grade to a final grade.
    3. Courses with students that have an incomplete will remain active for the instructor.
  3. 14 days after the last student in the roster receives a final grade:
    1. Empire Online will send all enrollments back to populate the roster.
    2. Students will appear in the roster with a role of "Student." Students do not have access to the course.
    3. Instructors switched to View Only role and will be able to view student work and the grade book.
  4. Drops/Withdrawals are removed from the roster and they are not put back in at the end (see #2 above).
  5. If a student grade is changed to an incomplete after a course has been made inactive, the course status will automatically change to active, the instructor role will be changed back to the original instructor role (to allow grading and comments) and the student with the incomplete will have access to the course with the regular student role.

Quick Eval and Term Ended Status

Quick Eval will be available for up to 30 days past the end of a term. If there are no students with an incomplete grade in the course, Quick Eval will become unavailable when the instructor role is changed  to read only (see above). For courses that have a student with an incomplete grade, Quick Eval will be available for the full 30 days after the term end. If there are students with incomplete grades in the course after 30 days past the end of the term, please note that Quick Eval will not be available to show any new work submitted by those students.
